The dead line dates and instructions to propose Symposia, Joint Discussions, Special Sessions, etc., to happen within the XXVII IAU General Assembly can be found in IAU Scientific Meetings Proposal Website, and are:

TIME LINE OF DUE DATES FOR SUBMITTING PROPOSALS FOR IAU SCIENTIFIC MEETINGS IN 2009

1 May 2007 :
IAU announcement of opportunity to submit proposals for IAU Scientific Meetings in 2009, soliciting Letters of Intent (LoI).
15 September 2007 :
Due date for proposer to submit a LoI to the Assistant General Secretary (AGS). A list of LoIs will be posted on the IAU web site.
Oct - Nov 2007 :
Informal consultation of proposers with presidents of relevant IAU Divisions (DPs) and IAU Commissions (CPs) and chairpersons of IAU Working Groups (WGs). A summary of these consultations has to be reported in the final proposal.
15 December 2007 :
Due date for proposers to submit to the IAU Proposal Web Server their final proposal, and a <.zip> file containing .txt or .doc files with (a) the scientific rationale, (b) the draft program, (3) a list of tentative speakers, and (4) a report of the consultation with DPs, CPs and/or WGs.
15 January 2008 :
DPs receive from AGS copies of all proposal material.
15 February 2008 :
Due date for DPs' reviews, ranking and comments, made in consultation with their Division OCs, CPs, and WGs, to the IAU Proposal Web Server.
1 March 2008 :
Due date for AGS to make DP evaluation summary available to DPs, preparing for an DP teleconference for final ranking and recommendation.
1 April 2008 :
Due date for AGS to send all proposal material and DP evaluation report and recommendation to IAU-EC.
May 2008 :
Final selection of meetings by IAU-EC during EC84.
1 June 2008 :
AGS informs all proposers, DPs, CPs, WGs of the final selection.
